NeuraiQ is a technology company based in Vancouver, British Columbia, Canada. We build AI-powered tools and products. This Privacy Policy covers how we handle personal information across all NeuraiQ products.

[01] Data We Never Collect

Across all NeuraiQ products, we do not:

• Sell or rent your personal data to third parties
• Use your data for advertising or marketing purposes
• Share your data beyond what is necessary to operate our services

[02] Your Rights

As a user of any NeuraiQ product, you have the following rights under Canadian law (PIPEDA):

• Access — request a copy of the data we hold about you
• Correction — request correction of inaccurate data
• Deletion — request deletion of your account and associated data
• Portability — request an export of your data

[03] Children's Privacy

No NeuraiQ product is directed at children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, contact us and we will delete it promptly.

We may update this Privacy Policy from time to time. The effective date at the top of this page reflects the most recent revision. Continued use of any NeuraiQ product after changes are posted constitutes acceptance of the updated policy. For material changes, we will notify you via email.

[06] Information We Collect

BookkeepAI collects only what is necessary to provide the service:

• Account information — your email address, collected when you create an account via Firebase Authentication
• Financial and expense data — expense entries, categories, amounts, dates, and notes that you input into the app
• Income data — monthly income entries you add to track income versus spending
• Billing information — subscription status managed through Stripe; we do not store your payment card details
• AI interactions — text prompts, receipt images, and voice recordings you submit to the AI assistant; these are sent directly to Google Gemini for processing and are never stored by BookkeepAI
• App preferences — dashboard layout, budget caps, onboarding choices, and linked account settings stored to personalize your experience
• Linked account data — if you use the linked accounts feature, limited profile information (email, display name) is shared between linked accounts to enable combined expense views

We do not store receipt images, voice recordings, or device diagnostic information.

[07] How We Use Your Information

We use the information we collect to:

• Authenticate your account and maintain your session
• Store and retrieve your expense records across devices
• Process AI-powered categorization — text prompts, receipt images, and voice recordings are sent to Google Gemini and immediately discarded; they are never stored by BookkeepAI
• Parse email receipts and PDF statements you forward to your personal BookkeepAI address, extracting and categorizing transactions automatically
• Support linked accounts — share limited profile information (email, display name) between accounts you have linked to enable combined expense views
• Manage your subscription and billing through Stripe
• Send account-related emails such as magic-link sign-in, email verification, and account notifications
• Comply with legal obligations as required by applicable Canadian and US law

We do not use your data for advertising, sell it to third parties, or use it to train AI models.

[08] Third-Party Services

Your data is processed only by the following infrastructure providers:

• Google Firebase — authentication (Firebase Auth), database (Firestore), server-side processing (Firebase Cloud Functions), and hosting
• Google Gemini AI — AI-powered expense categorization and assistant responses; processes text prompts, receipt images, and voice recordings you submit; data is not retained by Gemini beyond the request
• Stripe — subscription billing and payment processing; we do not store your payment card details
• Google Analytics (GA4) — anonymous usage analytics to understand how the app is used; no advertising targeting or cross-site tracking

Each provider operates under its own privacy policy and data processing terms. We do not authorize any of these providers to use your data for their own purposes beyond what is necessary to deliver the service.

[09] Data Storage & Security

Your data is stored in Google Firestore, secured by Firebase Authentication and Firestore security rules ensuring only you can access your own records. Data is encrypted in transit and at rest by Google's infrastructure.

[10] Data Retention & Deletion

We retain your data for as long as your account is active. When you delete your account, all associated personal data — including your profile, expense records, and account settings — is permanently deleted from our systems.

You can delete your account in the app under Settings → Advanced Features → Delete Account, or by email. See Delete your BookkeepAI account for steps and what is kept.

[11] Cookies & Tracking

BookkeepAI is a Progressive Web App (PWA). We use browser local storage and session storage solely for app functionality — such as remembering your theme preference and keeping you signed in.

We use Google Analytics (GA4) to collect anonymous usage data (pages visited, feature interactions, session duration). This data is aggregated and not linked to your identity. We do not use advertising cookies, sell your browsing data, or engage in cross-site tracking.

You can opt out of Google Analytics at any time using the Google Analytics Opt-out Browser Add-on.
